Standardizing Downloads Across a B2B Platform to Reduce Friction and Redownloads

Inconsistent download behavior and excessive configuration options were forcing users to repeat downloads multiple times per session. I redesigned and standardized the entire download experience across the platform, reducing cognitive overload and enabling users to complete the task in fewer steps.

The Problem

Downloads were one of the platform's most-used features and every module behaved differently.

 

Inconsistent patterns, too many selectors, and overlapping parameters created information overload, often forcing users to download the same data multiple times to get what they needed.

Users and Needs

B2B platform users rely on downloads for data analysis and reporting. They need to export complete, accurate data quickly — without having to relearn the process in every module or make multiple attempts to get the right output.

My Role

As the lead designer, I owned the end-to-end process: discovery, research, interaction design, and the creation of a new global component. I collaborated with product and engineering to ensure scalable implementation.

The process

Discovery: Mapping the Problem

I audited every download touchpoint across the platform to identify inconsistencies, friction points, and improvement opportunities. This gave me a clear picture of the full scope before defining any solutions.

Research: Letting Data Guide Decisions

To inform key decisions — like how granular selection options should be — I ran quantitative research using a product analytics platform. Two patterns stood out:

​A significant percentage of users selected all available options every time, suggesting a preference for complete exports over custom ones. There was also a clear correlation between the number of selections required and the number of redownloads in the same session — more steps meant more errors and repetition.

The solution: One pattern, every module

I standardized download behavior across the entire platform. Now, every download follows the same usability logic. On all entity detail pages, a consistent action set lives in the header — users never have to remember a different sequence depending on where they are.

To enable this at scale, I designed a global, modular, and reusable component that standardizes actions and supports resilient development across teams.

The new Download Preferences modal gives users control over content types and formats — enough flexibility to meet their needs, without the overwhelming number of options that previously blocked task completion.

Outcome

A single, predictable download pattern replaced a fragmented experience across the platform. Users now complete downloads in fewer steps, with no need to relearn the flow between modules — and with significantly less need to repeat the action within the same session.
